Support During Stay
Support During Stay
If you have concerns about repairs, renewals, or English communication during your stay, we are always available to assist you in Japanese.
Move-Out Support
Move-Out Support
We offer careful assistance with cleaning, key return, and security deposit refunds to help you avoid any trouble when moving out. You can feel at ease until your departure.
From pre-move guidance and contract procedures to troubleshooting during tenancy and move-out support, everything is handled in Japanese. Both company representatives and expatriates can proceed with confidence, without being confused by local real estate jargon or cultural differences.

We carefully review restoration and repair costs from a professional standpoint to prevent excessive charges. Our team negotiates directly with property owners and ensures that any claims beyond the agreed scope are handled responsibly.

Even when multiple expatriates are assigned to various locations, XpatHomes manages all contracts, renewals, rent payments, and repairs in an integrated way. This significantly reduces administrative work for corporate staff and helps prevent potential issues before they arise.

We regularly hold pre-departure seminars for newly assigned employees and their families, explaining preparations for moving to the U.S. in clear, easy-to-understand Japanese. Participants can ask questions freely, and we provide full support to ensure a smooth transition.

Even during the contract period, when sudden reassignment or return to Japan occurs, we negotiate with property owners to adjust move-out dates. We aim to minimize penalty fees and coordinate the most suitable schedule for both the company and the expatriate.

Our original lease agreement includes a “Transfer Clause,” allowing smooth contract management without repeated legal reviews or revisions. This helps speed up internal approvals and overall contract processing.

We ensure that expatriates can move into their new homes on the very day of arrival. This eliminates the need for long hotel stays and helps reduce unnecessary accommodation costs, providing a comfortable start from day one.

We handle requests such as key replacements, air conditioning adjustments, or switching to furnished apartments directly with owners. By bridging cultural and contractual gaps, we minimize inconvenience and provide a living environment closer to Japanese standards.

We provide companies with an annual rent market report for their target areas, free of charge. Based on this data, we offer expert advice on revising or designing corporate rent subsidy policies.

Even in areas or seasons where rental properties are scarce, we can prepare suitable housing within about two months in cooperation with our partner investors. These “XpatHomes Managed Properties” come with multiple advantages — including the Transfer Clause, same-day move-in, full Japanese-language support during tenancy, and guaranteed security deposit refunds upon move-out.

We prepare furnished apartments equipped with kitchens and in-unit washer/dryers, combining the comfort of a hotel with the functionality of a home. Utility setup and all move-in, stay, and move-out support are fully provided in Japanese.

F.A.Q.Frequently Asked Questions
Q1:When should expatriates start looking for housing?
We recommend beginning preparations about two months before moving to the U.S.
This allows enough time for property selection, scheduling viewings, and preparing necessary documents.
Q2:How much does it typically cost to rent a home for expatriates?
As a general guideline, the initial cost at the time of lease signing is about 3 to 3.5 months’ rent,
including the first month’s rent, security deposit, and brokerage fee.
Q3:Do you cover all regions in the United States?
Yes, we can assist in any region across the U.S.
Even in areas where our Japanese staff cannot visit in person, we can handle everything smoothly through video calls and document sharing.
If you choose an XpatHomes Managed Property, full Japanese-language support is available from move-in to move-out—even in regions without a local office.
Q4:We plan to send over 10 expatriates. Could you explain your service details and fee structure?
For individual contracts, the brokerage fee from property search to contract signing is equivalent to one month’s rent.
Optional support (such as move-in preparation, assistance during tenancy, and move-out coordination) is available for an additional fee.
For XpatHomes Managed Properties, we provide a fully integrated Japanese-language service—covering the entire process from search, contract, move-in, stay support, to refund of the security deposit—for one month’s rent.
For corporate contracts, we will tailor services and pricing based on your specific needs.
Q5:Housing costs in the U.S. are rising every year. Do you have any advice for adjusting our rent subsidy policy?
Yes.
We can support you by providing annual updates on local rent market data to help review and adjust your company’s rent subsidy levels.
Additionally, we offer solutions for corporate housing management, such as purchasing and maintaining company-owned residences at stable long-term rent levels, and managing rentals during vacancies.
Q6:How does the refund process for the security deposit work?
Typically, the landlord or property manager inspects the property after move-out and deducts repair costs as needed.
The remaining balance is refunded within 30 days of departure.
Please note that details may vary depending on the lease agreement, so we recommend confirming in advance.
Q7:What does “centralized management for expatriates” mean?
We manage all relevant information in one place—such as expatriate profiles, assignment periods, property addresses, rent amounts, and lease renewal status—on behalf of the company.
Q8:Should inquiries be made directly by the expatriate or through the company?
It depends on the company’s policy.
In some organizations, the HR department simply introduces trusted housing services, while the expatriate handles the housing search directly. In such cases, we can communicate directly with the expatriate.
If, on the other hand, HR staff would like to confirm service details and arrangements before requesting support on behalf of the company, we welcome direct inquiries from the corporate side as well.
In all cases, we respond flexibly to each situation.
